Presentation Guidelines & Recommendations

Presentation Guidelines

We have created a Summit 2024 Powerpoint template for you to use. Please save your PowerPoint as “Last name-Title”. Please submit your PowerPoint presentation and/or supplemental resources by Monday, October 7. 

If you would like hard copy handouts available for attendees, you must provide them yourself.

Handout Key Elements:

The length of the handouts should match the length and complexity of the presentation. A short presentation of 10 to 15 minutes may require only one to three pages of handout material. Longer presentations of an hour or more may call for four to six pages or more of handout material.

  •  Handouts should be attractive, easy to read, and comprehensive.
    • Consider bolding or using other graphic features to draw attention to important points
    •  Bullet points are an effective way of relaying information concisely
    • At a minimum, handouts should contain the following information:
      • Speaker's name, title, and organization
      • Title and date of the presentation
      • Speaker's contact information, including phone numbers, business address, and e-mail address (as you are comfortable)
      • Outline of the presentation, including key concepts
      • Background information, documents, spreadsheets, and so on, to support the speaker's assertions
      • List of recommendations/references, if applicable
      • Learning objectives
      • In addition, handouts may contain:
        • The full text of the presentation
        •  Resource material
        • A list of references
        • Stories
        • Quotations
        • Other relevant material

To support a greener and more sustainable conference practices, we will not provide hard copies of your presentation materials; instead, these materials will be posted online for registrants’ use before and after the conference. 


Changes to your Session

Please contact [email protected] with any questions or changes to your session. We will do our best to accommodate changes but please note that not all adjustments will be possible. 

Changes will be processed on a weekly basis and the aasp office will follow-up via email once the change is complete. Please note that if you are adding a speaker in addition to the speakers already confirmed, they will not be eligible for the speaker discount. 


Standard A/V Set for Sessions

The standard AV package includes a podium, wired microphone, one wireless lavaliere microphone, slide advancer, laptop computer, projector and screen. A wireless internet connection will also be available. Your presentation will be pre-loaded on the provided laptop computer. If you anticipate additional AV needs please email requests to [email protected] for consideration.


Speaker Registration

Please reference the code provided to you in your speaker acceptance letter when registering for the conference. All speakers must register before October 28, 2024.

  • Dress to impress
  • Use up-to-date, quality resources and reporting best practices — Please openly cite all resources (including images) in your presentation
  • Keep your presentation within your allotted time
  • Provide a takeaway for your audience (downloadable materials will be available for attendees before (or after) your presentation)
  • Practice your presentation with a friend or colleague
  • Provide your presentation slides and materials to the office early
  • Work with colleagues to come up with a few questions attendees might ask during your session to answer during low points of the Q&A portion
  • Engage with your audience

Maximizing Accessibility in Your Presentation via nten.org

  1. Keep slide show paragraph/bullet point text size a minimum of 20–28 points
  2. Label slides with unique headings. If more than 1 slide per topic, use a numerical identifier such as "(1 of 2)"
  3. Avoid using italics or ALL CAPS
  4. Keep transition animations to a minimum
  5. Focus on short blurbs and lists
  6. Don't overfill your slides - break up dense slides to multiple slides
