Shortly after registering for your exhibit booth or sponsorship, you will receive an email from our exhibitor management platform, MapDynamics, with instructions to access your exhibitor profile. If you have not received your access link, please reach out to [email protected] for assistance.
Once you receive your MapDynamics access link, log in to complete your company profile by adding your logo, a company description, contact information, social links, onsite representative details, products, services, and more. Your profile will be visible to attendees so we encourage you to fill out all of the tabs and utilize the various profile features. We may also use the information in your exhibitor profile to promote your participation at the conference so please be sure it is complete and accurate.
Administrative Contact: The individual and email address listed in your Administrative tab will be who we use as the key point of contact to relay all important conference information to.
The deadline to complete your exhibitor profile is November 4, 2024. After this date your MapDynamics profile will be locked and you will no longer be able to make edits to your listing.
Exhibitor representative badges give you access to socials, the exhibit hall, sponsor haven, and meals. If you are looking to attend the full Summit, you will need to register as a regular attendee.
The deadline to register your representatives is November 4, 2024. After this date, you will be required to register onsite as a full conference attendee.
To redeem the complimentary registrations included in your partnership package:
1. Click here to navigate to the registration webpage and use the “Register Now” button to access the form.
2. Under the Registration Options section, select “Sponsor or Exhibitor Representative” and then “Complimentary Registration Redemption.”
4. Enter the discount code provided to you and select “Apply” before submitting the form to remove the cost of registration.
Additional exhibitor badges can be purchased for $275 each. To purchase additional representative badges, select the “Exhibit Hall Only” option under the Registration Options section when completing the form. No code is needed to purchase additional representative badges.
With the purchase of lead retrieval, you can scan attendees' badges with your smartphone or tablet and access real-time reports.
Lead retrieval can be purchased in MapDynamics for $350 and includes two licenses to the lead retrieval portal. Additional licenses can be purchased for $175 each.
The license(s) for your lead retrieval is connected to the Bravura conference app. You will be receiving an email approximately one week prior to the conference with instructions on how to login, assign your licenses, and use the lead retrieval platform.
The deadline to order lead retrieval is November 4, 2024. Lead retrieval must be purchased in advance and will not be available for purchase onsite at the event.
Freeman is the contracted exhibitor services provider for this event. Exhibitors will receive an email invitation from Freeman to access the exhibitor services kit with information on ordering fixtures and material handling.
Log in to the Freeman Exhibitor Services Portal to order furnishings for your booth, view material handling rates, and print shipping labels.
If you would prefer to manage your own freight, there is an onsite FedEx office that oversees shipping and handling for the venue. Should you choose to ship directly to the hotel and your freight arrives on a day, or time, outside of exhibitor move-in hours, FedEx will accept your shipment, store it, and charge handling fees. Upon arrival, you will need to visit the FedEx Business Center on level 2 to request your packages be delivered to your booth.
NOTE: If your direct to venue shipment arrives during move-in hours, it will be released to Freeman and their material handling fees will apply. In order to ensure that your materials are delivered to your booth prior to move in, it is suggested that you utilize Freeman's advance warehouse shipping option.
Electrical hookups, dedicated internet connections, and AV services may be ordered through the Encore EventNow order form linked below. If you have questions about your order or the services offered, contact Encore for more information.
To encourage engagement in the exhibit hall, attendees will have the opportunity to participate in the Summit Scavenger Hunt – Passport to Prizes program! Each exhibit booth will have a unique QR code that attendees can scan using the conference app. Once they have visited all of the booths/scanned all of the codes, they will be entered into a prize drawing.
All exhibitors will be included in the Summit Scavenger Hunt – Passport to Prizes program. Receive even more exposure by donating a prize! Exhibitors that donate a prize will be recognized in the conference app and during the prize drawing plus the winner of your donated prize will be instructed to retrieve it from your booth. As a participating sponsor or exhibitor at aasp Summit, you will receive the attendee list as a part of your partnership package at no additional cost.
aasp Summit partners will receive the pre-show attendee list two weeks prior to the conference and a post-show attendee list within one week following the conference. The attendee lists will include all opt in attendees’ names, organizations, titles, and email addresses.
If you are contacted by an outside party advertising the sale of the aasp 2024 Summit attendee list, be aware these emails and solicitations are spam. If you receive an email from anyone outside of the aasp office claiming to have access to the attendee list, please do not respond and forward the email to [email protected].
All Summit 2024 exhibits and sponsorships are available on a first-come, first-serve basis. Exhibits and sponsorships are not reserved until aasp receives payment.
To receive a registration refund, less a $25 processing fee, all cancellations must be received in writing to the aasp Office by August 8, 2024, 11:59 PM U.S. Eastern Time. No refunds will be granted thereafter. No-shows will not be refunded.
